Event Planning Brief
Select this option if:
You are ready to provide Viva Esprit with a brief of your event requirements and you need Viva Esprit to provide some options and a quotation.

Request Catering Services
Select this option if:
You are ready to provide Viva Esprit with the details of your catering needs and you want Viva Esprit to offer tailored catering options and a quotation for your event.

Pay My Supplier
Select this option if:
You already know the supplier you want to use (e.g. Restaurant, photographer, caterer, chauffeur). Or you have a provisional booking made with a supplier and need Viva Esprit to pay for the service.

Payment Procedure
Once your venue or service is chosen Viva Esprit will pay the appropriate 3rd party vendors on behalf of Capgemini.
A PO must be provided to Viva Esprit in order for them to make the booking on your behalf.
They are not permitted to make a booking with a PO. Viva Esprit can be paid via Corporate AMEX or BACS Transfer.

Through the platform, you can book a variety of MICE (Meetings, Incentives, Conferences, Exhibitions) events, whether small meetings, larger conferences, or events requiring accommodation, delegate management, and complex production.

Follow these simple steps:
1. Decide on the type of event you’re looking to book.
2. Complete and submit the appropriate booking form.
3. Viva Esprit will contact you to validate your enquiry and assist with the next steps.

Once the Viva Esprit team receives your enquiry, they will email you with a job code and event name in the subject line. Please do not change the subject line, as it helps the team easily track your booking.

You will receive a confirmation email from the team within 24 UK working hours after submitting your enquiry. They will then provide you with an estimated lead time for your event proposal.

If you’re organizing a complex event that requires multiple services - such as delegate management, event production, and performances - please submit an Event Planning Brief. Viva Esprit will review your requirements and provide tailored options and a quotation to meet your event’s needs.
Performances, in this context, refer to live entertainment options like music, dance, comedy acts, or unique speciality performances that enhance the atmosphere and engagement of your event

If you already have a supplier (e.g. restaurant, photographer, or chauffeur), you can use the “Pay My Supplier” option. Viva Esprit will handle the payment on your behalf, provided you have a provisional booking with the supplier.

If you need catering for your event, select the “Request Catering Services” option. You can provide your catering needs, and Viva Esprit will offer tailored options and a quotation for services like breakfast, lunch, or a full-day menu.

If you’re ready to provide a brief of your event requirements, select “Event Planning Brief.” Viva Esprit will review your brief and offer suitable options and quotations for your event.

Once your venue or service is chosen, Viva Esprit will pay the third-party vendors on behalf of Capgemini. However, a PO (Purchase Order) must be provided before any booking is made. Viva Esprit accepts payments via Corporate AMEX or BACS Transfer.
